Fan Alert types

5-Stage Automated Alert Series

Targeted emails and mobile alerts with your branding are sent to artists’ followers within a 75-mile radius, RSVPs, and recent email openers near your venue from Bandsintown’s 80+ million users, driving results at every stage of your event lifecycle:

  1. Just Announced: This alert is sent to all followers of any artists on the bill when the event is announced. It contains information about the event, including the date, time, location, and any special details. This is their first chance to learn about upcoming events and be among the first to secure their tickets.

  2. On Sale Now: This alert is sent to all followers of any artists on the bill and all RSVPs when tickets go on sale, with ticket links prominently featured.

  3. 1 Month Reminder: This alert is sent to RSVPs and those who opened the ‘Just Announced’ or ‘On Sale Now’ emails one month before the event's date with ticket link and event info prominently featured.

  4. 1 Week Reminder: This email is sent to all followers of any artists on the bill and all RSVPs one week before the event's date with ticket link and event info prominently featured.

  5. 1 Day Reminder: This alert is sent to RSVPs and those who opened the ‘Just Announced’ or ‘On Sale Now’ emails one month before the event's date with ticket link and event info prominently featured.

PLEASE NOTE:

  • ‘Just Announced’ and ‘On Sale Now’ alerts will be combined into one ‘On Sale Now’ alert if tickets go on sale at or near the time of the event announcement.

  • Alerts are sent to artist followers within a 75-mile radius of the event location.

Automated Monthly Digest Email

The Automated Monthly Digest email keeps your venue’s Bandsintown followers engaged and in the loop by showcasing your upcoming events in a branded email sent on the first day of each month to your venue’s Bandsintown followers.

Fans can easily set reminders, buy tickets or get more info directly from the email.

Configure Upcoming Events Section In Fan Alerts

Premium subscribers can choose from three different ways to display the Upcoming Shows that appear in Fan Alerts, highlighting either upcoming shows sorted by date only, upcoming shows sorted by top artists, or upcoming shows by similar artists. Shows are always displayed in chronological order.

This setting can be changed from the Fan Alerts section of the General tab of your Settings.

Scheduled & Sent Alerts

Bandsintown intelligently chooses the most optimal times to send alerts based on fans’ time zones.

View your insights for your upcoming and sent alerts from the Fan Alerts page.

For Sent Alerts, you'll find insights including the total number of emails and push notifications sent, their open rates, and number of clicks.

For Upcoming Alerts, you'll find information on the estimated audience size and the current status of the alert (either 'On' or 'Off').

Fan Alert Email Receipts

As a recommended quality assurance step, you can enter up to 5 email addresses for you and/or your team members to receive copies of each email alert sent on your venue’s behalf.

Monitoring the frequency and accuracy of your email alerts ensures the best experience for prospective event attendees.

Disabling Fan Alerts

To disable all upcoming Fan Alerts for an event, navigate to the Scheduled section of the Fan Alerts page in your Bandsintown Pro dashboard. From there, use the toggle on the right of each event to disable the alert from sending. You can return to reactivate it at any time, as long as it’s at least 24 hours before the scheduled send date/time.

To disable only some of the Fan Alerts for an event, find that event in the Published section of your Events tab and click to open the Edit Event details. You'll see an Upcoming Fan Alerts area on the right showing whether each alert is active or has been muted.

Click Update to open the Manage Fan Alerts pop-up where you can toggle each switch to enable or disable specific alerts. Make sure to Save after making any changes.

You can also find this section by clicking the 3 dots beside any of your events.

Disabling Alerts for Sold-out Events

To receive email notifications when your events sell out, enable the Sold-out Event Emails setting in the Email Preferences from the My Account dashboard.

Each time an event sells out, you’ll receive an email update, which will also allow you to easily disable alerts for that event by clicking the Manage Alerts button beside it.

Automatically Disabling Alerts for Sold-Out Events

Premium subscribers can opt to have Fan Alerts for an event automatically disabled when that event sells out.

This setting is off by default but can be turned on by toggling Disable Fan Alerts For Sold-Out Events from the Settings > General tab of your venue dashboard.

When the setting is toggled on, you’ll continue to receive email notifications when your events sell out, giving you the option to manually enable or disable Fan Alerts for that show.

View Sent Fan Alerts

To view Fan Alerts that have already been sent, head to the Fan Alerts section of your account settings. Click one of the two "Preview" buttons next to a published alert to view previews for both push notifications and email alerts.
